Managing Smart Table Access and Sharing

Maven Bio lets you securely share smart tables you’ve created, making it easy for teammates to collaborate, review findings, and work from the same source of truth.

If it’s a smart table you’ve created for a project or analysis your team needs to reference, you can manage view or edit access for it without creating multiple copies of the same smart table.

Where to find smart table sharing

You can share a smart table or update its permissions from two places within the smart table.

  • Manage access link

Open the smart table you want to share or change access for. In the top-right of your screen, you’ll see the Manage access link.

Clicking this opens the Share pop-up, where you can configure access.

Next to the smart table title, you’ll see a small label (gray or green, depending on the current access for that smart table). Clicking this label also opens the Share pop-up.

Each Item in the your work section hasa collaboration indicator. You can click on the access tag to open the manage access pop up and go from there.

Managing access and sharing

In the Share pop-up window, use the Select Recipient dropdown to find the person or team you want to share the smart table with.

This list includes all Maven Bio users and teams in your organization. You can share the smart table with specific team members or specific teams.

Next to the Select Recipient dropdown, use the Role dropdown to set permissions:

  • Viewer — Users can view this smart table but cannot edit or delete it.

  • Editor — Users can edit or delete this smart table.

After you select the user or team you want to grant access to, click Share to confirm. Their name will appear in the People with access section. You can repeat this process to add more users or teams. Once all access is set, click Done to close the pop-up.

You can also choose to enable organization-wide access for the smart table.

In the same pop-up, find Organizational access at the bottom. It’s Restricted by default—select your organization name, then click Done. Once enabled, all Maven Bio users in your organization will see this smart table in their Your work section.

Use Copy link to quickly share a smart table URL in Slack, email, meetings, or presentations.

Note: Only users who have been granted access (Viewer or Editor) will be able to open the link, and the link will not work for anyone who hasn’t been granted access to the smart tables.

The following actions are available in the Share pop-up for a specific smart table to users with editor access:

  • View shared access: See the list of people and teams who currently have access to that particular smart table.

  • Change roles: Modify a user’s permission (View ↔ Edit) at any time.

  • Revoke access: Click the delete icon next to a name to remove access.

Note: Sharing a smart table does not create a copy. You are giving collaborators access to the same original smart table . If an editor deletes it, the smart table is deleted for everyone—including the person who created it.

Privacy indicator: Private → Editor

Once you share the smart table with anyone (Viewer or Editor), the privacy label next to the smart table title updates: Private (gray) becomes Editor (green) once anyone other than the person who created the smart table has been granted access.

Use smart table sharing to keep work centralized, maintain one consistent version, and ensure your team always has access to the most up-to-date analysis.

Smart Table Collaboration

Smart Tables support real-time collaboration so teams can work together on the same table without creating multiple versions or copies.

When a Smart Table is shared with other people in your firm (as viewers or editors), you’ll see who’s in the table and any changes made by editors will update instantly for everyone.

Seeing who’s in your Smart Table

When you open a shared SmartTable:

  • Look at the top-right corner of the screen, next to the Share button.

  • You’ll see the initials representing the people who are currently viewing that table.

  • This presence indicator shows both viewers and editors who have the table open at that moment.

This makes it easy to tell when teammates are looking at the same Smart Table as you.

Real-time updates from editors

Smart Tables are truly shared — there is only one live version of the table.

  • If a user with editor access makes a change (for example, adds a column, or updates a filter),

  • That change is immediately reflected for all users who have access to that Smart Table (both viewers and editors).

Instant change notifications

Whenever an update is made to the Smart Table, all collaborators receive an instant in-app notification about the change that was made.

  • This helps you track updates in real time while you’re working, especially when multiple teammates are editing together.

These notifications, combined with presence indicators, allow users to confidently collaborate on Smart Tables without losing context or overwriting each other’s work.
